1. Data controller

2. What data we collect

Through the contact and access forms (Vigilum Early Access): name, work email address, organisation, and optionally phone number, role, sector, approximate fleet size and the content of your message.

Automatically, at the technical level: IP address and minimal metadata in server logs, strictly for infrastructure security and abuse prevention (for example, rate limiting on repeated submissions).

3. Purpose and legal basis

Form data is used exclusively to evaluate and handle your request. The legal basis is your consent, expressed when submitting the form — Art. 6(1)(a) GDPR.

Technical logs are processed under the legitimate interest of keeping the service secure and functional — Art. 6(1)(f) GDPR.

4. How long we keep it

Requests submitted through forms are kept for a maximum of 12 months from the last related interaction, then deleted or anonymised. Technical server logs are kept for a maximum of 12 months.

If a request leads to a contractual relationship, relevant data is kept for the duration and under the conditions imposed by applicable legal and contractual obligations.

5. Where data is stored

Data is stored on SafeByte’s own infrastructure, in the European Union. We do not transfer data outside the EU. We do not use third-party marketing or traffic analysis processors.

6. Who we share it with

We do not sell or rent your data. We do not use it for unsolicited marketing. We may disclose it only if legally required or at the request of a competent authority.

7. Your rights

You have the right of access, rectification, erasure, restriction of processing, portability, objection and the right to withdraw your consent at any time (without affecting the processing carried out before withdrawal). You can exercise them by writing to dpo@safebyte.io.

You also have the right to file a complaint with the National Supervisory Authority for Personal Data Processing (ANSPDCP) — dataprotection.ro.

8. Data security

We apply technical and organisational measures to protect data against unauthorised access, loss or disclosure. SafeByte Consulting is ISO 27001:2023 certified.

We may update this policy as our services evolve. The version in effect is the one published here, with the date below.
